Position Overview
Are you passionate about human resources and ready to make a significant impact? As an HR Executive, you’ll play a vital role in managing a variety of HR operations, including maintaining our Oracle (iFusion) Database, overseeing staff exit processes, and ensuring the accuracy of employee records. Your clear communication skills will be essential as you interact with both internal teams and external inquiries.
Key Responsibilities
- Daily Operations: Efficiently prepare and update the Oracle (iFusion) System for all payroll-related activities, including transfers, terminations, and resignations.
- Exit Management: Oversee the entire out-processing procedure, ensuring a smooth transition for departing staff, including clearance, insurance, and final settlements.
- Engagement: Conduct exit interviews to gather feedback and address employee concerns.
- Reporting: Prepare Key Performance Indicator (KPI) reports to track the time taken for final settlements.
- Workforce Scheduling: Assist in managing the Workforce Scheduler to ensure proper rostering and approvals, while preventing system violations.
- Documentation: Record and organize all relevant documents and correspondence efficiently.
- Orientation Support: Help deliver orientation presentations to new employees, ensuring they feel welcomed and informed.
- Experience Letters: Draft experience letters for former employees as needed.
- File Management: Maintain neat and organized personnel files, ensuring compliance with company policies.
- HR Reporting: Assist in compiling monthly HR reports using online statistics and ad hoc reporting.
- Policy Compliance: Ensure adherence to American Hospital Dubai’s policies and procedures by reviewing personnel actions.
Qualifications & Skills
- Education: Bachelor’s Degree in Business or a related field.
- Experience: At least four years in a similar HR role, preferably in a healthcare environment.
- HR Knowledge: Familiarity with HR policies and UAE Labour Law is a must.
- System Proficiency: Strong experience with the HR Oracle system is essential.
- Communication Skills: Excellent communication abilities to engage effectively with all stakeholders.
Additional Responsibilities
- Daily processing of the Oracle (iFusion) System to reflect new appointments, transfers, and other employee changes.
- Generate monthly reports on new joiners and manage details for contingent workers in the system.
- Monitor and manage the Leave Management system on iFusion.
- Prepare contracts for new hires, including addendums and renewals.
- Review and process salary advance requests from employees.
- Assist with bank account setups for new hires, ensuring accurate registration in the system.
- Manage the Biometric Time and Attendance System.
- Act as a liaison between IT and HR Operations for system enhancements and troubleshooting.
- Conduct orientation sessions for staff regarding the Workforce Scheduler system.
- Test HR solutions before implementing changes to ensure functionality and compliance.
- Develop and communicate personnel policies in line with standard HR practices and regulations.
